Job Description
What are the specifics of the role?
As a Reception & Administration Officer at Windermere, you will provide exceptional front of house reception services, initial consumer guidance about our services and administration support to our staff. You will be based at our beautifully renovated Narre Warren Head Office, although may be required to work at other Windermere sites from time to time. Your core responsibilities include managing incoming telephone calls, face-to-face enquiries, greeting consumers attending appointments along with various administration tasks.
Perfect for someone seeking work life balance, this is a permanent part time role for 16.5 hours per week (Tuesday 1pm–5:30pm, Wednesday 1pm–5:30pm, Friday 9:30am–5:30pm) plus the ability to provide relief for staff leave as required (between 8:00am and 5:30pm Monday to Friday)
You will have demonstrated experience working in a fast-paced environment, particularly in operating a busy reception and switchboard while completing various administrative tasks. You will be polite, friendly and have a fantastic ‘can do’ attitude along with excellent interpersonal and communication skills.
• Proven experience in a reception and administration position • Experience in community services or similar highly advantageous (please highlight in cover letter)
• Strong attention to detail, tech savvy and ability to learn new systems quickly
• Ability to multi-task
• Experience within the NDIS framework is highly desirable but not essential
• Strong interpersonal skills and ability to work in a fluid, changing environment • Flexible and adaptive to covering shifts as required - (between hours 8:00am - 5:30pm) • A valid NDIS Worker Screening Check and Working with Children's check (or ability to obtain)
• Positive and motivated team-player who has a passion for supporting our community with complex needs
• The successful applicant will be required to obtain a Police check, NDIS check and a Working with Children's check along with current accredited First Aid, CPR, Asthma and Anaphylaxis Management certificates.

Desired Skills and Experience
Key Selection Criteria
• Demonstrated experience in a busy reception/administration or similar role is essential. • Previous experience working in the social and community services sector would be an advantage. • Exceptional interpersonal, written and verbal communication skills, • Highly developed word processing skills with sound knowledge of Microsoft Office suite. • Ability to appropriately respond to people with pressing needs in a caring and non-judgmental manner, whilst thoughtfully redirecting potential urgent calls or visitors to a relevant worker. • Sound judgement and decision making. • Demonstrated ability to creatively problem solve and master new administrative challenges. • Self-motivated and experienced in working both autonomously and cooperatively in an effective self-managed team. • Strong time management and ability to prioritise tasks whilst ensuring attention to detail and accuracy in detailed work. • Ability to maintain strict confidentiality. • Willingness to promote and support practices that are inclusive, culturally responsive, safe and accessible. • Current Victorian Drivers’ Licence. • Current accredited First Aid, CPR, Asthma and Anaphylaxis Management certificates. • Willingness to undertake relevant pre-employment screening and checks - including NDIS worker screening check, Police Check, Pre-Employment Medical and Working with Children's check. • Right to Work in Australia e.g. Australian Citizen, Permanent Resident or visa holder with full working rights.
