Job Description

Now, let’s talk about this exciting opportunity!

We are currently seeking 2 x Permanent Part time Reception & Administration Officers;

22.5 hours per week (Monday 9:30am–5:30pm, Thursday 9.30am-5:30pm and Friday 8am – 4pm) plus the ability to provide relief for staff leave as required, AND

16.5 hours per week (Tuesday 1pm–5:30pm, Wednesday 1pm–5:30pm, Friday 9:30am–5:30pm)

As a Reception & Administration Officer at Windermere, you will provide exceptional front of house reception services, initial consumer guidance about our services and administration support to our staff. You will be based at our beautifully renovated Narre Warren Head Office, although may be required to work at other Windermere sites also. Your core responsibilities include managing incoming telephone calls, face-to-face enquiries, greeting consumers attending appointments along with various administration tasks.

You will have the option to access generous salary packaging due to Windermere being a not-for-profit organisation. The pro-rata salary range depending on experience is $ 28,866.25 to $ 30,477.64 (for 16.5 hours).  This is the equivalent in the general market to a Gross Salary range of $31,141.20 to $33,220.70 (16.5 hours).

The pro-rata salary range depending on experience is $ 39,363.06 to $ 41,560.42 for 22.5 hours).  This is the equivalent in the general market to a Gross Salary range of $ 43,250.00 to $ 45,603.50 (22.5 hours).

Desired Skills and Experience

About You

You will have demonstrated experience working in a fast-paced environment, particularly in operating a busy reception and switchboard while completing various administrative tasks. You will be polite, friendly and have a fantastic ‘can do’ attitude along with excellent interpersonal and communication skills.

  • Proven experience in a reception and administration position
  • Experience in community services or similar highly advantageous (please highlight in cover letter)
  • Strong attention to detail, tech savvy and ability to learn new systems quickly
  • Ability to multi-task
  • Experience within the NDIS framework would be desirable but is not essential
  • Strong interpersonal skills and ability to work in a fluid, changing environment
  • Flexible and adaptive to covering shifts as required
  • A valid NDIS Worker Check and Working with Childrens check (or ability to obtain)
  • Positive and motivated team-player who has a passion for supporting our community with complex needs
  • The successful applicant will be required to obtain a Police check, NDIS check and a Working with Children's check along with a current accredited First Aid, CPR, Asthma and Anaphylaxis Management certificate.

Key Selection Criteria:

  • Demonstrated experience in a busy reception/administration or similar role is essential. Previous experience working in the social and community services sector would be an advantage
  • Exceptional interpersonal, written and verbal communication skills
  • Highly developed word processing skills with sound knowledge of Microsoft Office suite
  • Ability to appropriately respond to people with pressing needs in a caring and non-judgmental manner, whilst being able to effectively and empathetically redirect potential urgent calls or visitors to a relevant worker.
  • Sound judgement and decision making with demonstrated ability to creatively problem solve and master new administrative challenges
  • Self-motivated and experienced in working both autonomously and cooperatively in an effective self-managed team
  • Strong time management and ability to prioritise tasks whilst ensuring attention to detail and accuracy in detailed work
  • Ability to maintain strict confidentiality
  • Willingness to promote and support practices that are inclusive, culturally responsive, safe and accessible.
  • Current Victorian Drivers’ Licence.
  • A current accredited First Aid, CPR, Asthma and Anaphylaxis Management certificate.
  • Willingness to undertake relevant pre-employment screening and checks - including NDIS worker screening check, Police Check, Pre-Employment Medical and Working with Children's check
  • Right to Work in Australia e.g. Australian Citizen, Permanent Resident or Visa holder with full working rights
